Frequently asked questions
Answers to common questions about custom internal sysion, AI-assisted processes and working with Evans Digital.
You do not need to know exactly which service you need. Start by explaining the problem, process or manual work you want to improve.
What does Evans Digital do?
Evans Digital builds practical digital systems that help businesses reduce manual work, improve visibility and manage processes more effectively.
The 3 main services are: Custom Internal Software, Workflow Automation and AI-Assisted Processes.
The right solution may involve one of these services or a combination of them.
Who do you work with?
I work with growing businesses, project-based companies, agencies and operational teams that have outgrown spreadsheets, disconnected tools or repetitive manual processes.
Evans Digital is based in Tamworth and works with businesses locally, across the UK and remotely.
How do I know which service I need?
You do not need to decide before getting in touch.
As a general guide:
- Custom Internal Systems are for businesses that need a new dashboard, tracker, portal or internal tool.
- Workflow Automation is for businesses manually moving information between existing tools.
- AI-Assisted Processes are for workflows where information needs to be read, understood, extracted or prepared.
I will review the problem and recommend the most practical approach.
Do you only build AI solutions?
No. AI is one part of the service, but it is not always the right answer.
Sometimes a custom internal system, a straightforward automation or a clearer process will solve the problem more reliably.
The focus is on choosing the right solution rather than adding AI unnecessarily.
What is the free audit?
The free audit is an initial review of a business process, spreadsheet, tracker, workflow or AI use case.
You explain what currently happens and where the difficulty is, and I identify what I would improve first.
What do I get from the free audit?
You will receive practical feedback on the main problem and the type of solution that may help.
This could include:
- replacing a spreadsheet or manual tracker
- creating a clearer internal dashboard
- connecting disconnected tools
- reducing repetitive data entry
- automating reporting or notifications
- extracting information with AI
- improving how enquiries or documents are processed
It is designed to give you a clear starting point rather than a long technical report.
Do I need to book a call for the free audit?
No.
You can submit the initial information through the form. If a conversation would help after I have reviewed it, we can arrange one.
Is the audit really free?
Yes.
The aim is to show you where I think the most useful improvement could be made before you decide whether you want help building it.
What should I send for the audit?
Send anything that helps explain the current process, such as:
- a description of the workflow
- a spreadsheet or tracker
- screenshots of the tools involved
- an example report
- a repetitive admin task
- a process involving emails or documents
- an idea for an internal system
- an AI use case you want to explore
- Do not include sensitive customer or business information unless it is necessary and safe to share.
What is a custom internal system?
A custom internal system is software built specifically for use within your business.
It could be a dashboard, project tracker, job management system, admin panel, client portal or another tool designed around your internal process.
When does a business need a custom internal system?
A custom system may be useful when:
- spreadsheets have become difficult to manage
- important information is spread across several tools
- staff maintain different versions of the same data
- managers cannot easily see what needs attention
- generic software does not match the process
- the business relies heavily on manual tracking
What types of systems can you build?
Examples include:
- dashboards and admin panels
- job and project trackers
- workflow management systems
- customer or supplier portals
- reporting systems
- document management tools
- internal databases
- custom business applications
Can you replace an existing spreadsheet?
Yes.
The first step is understanding what the spreadsheet tracks, who uses it, what calculations or rules it contains and where the current problems are.
The replacement system can then provide a clearer and more controlled way to manage the same process.
Can the system have different user roles?
Yes.
Different users can be given access based on their role or responsibilities.
For example, administrators, managers, employees, customers or suppliers may each see different information and actions.
Can a custom system connect to our existing tools?
Usually, depending on what access and integration options the existing tools provide.
Connections may be possible through APIs, webhooks, file imports, exports, email processing or workflow automation.
What is workflow automation?
Workflow automation removes repeated manual steps from an existing business process.
It can detect when something happens, move information between tools, update records, create tasks, send notifications or trigger the next action.
Do I need to replace the tools we already use?
Not necessarily.
Workflow automation often connects the tools a business already uses.
Where the existing setup is no longer suitable, I may recommend replacing part of it with a custom internal system.
What types of tasks can be automated?
Examples include:
- email alerts added to reports
- form submissions sent to a CRM
- spreadsheets updated automatically
- follow-up reminders
- internal notifications
- reporting workflows
- data formatting
- task or ticket creation
- document movement
- customer or project status updates
What tools can workflow automation connect?
Automation may connect to anything that has an API.
Do I need to replace the tools we already use?
Not necessarily.
Workflow automation often connects the tools a business already uses.
Where the existing setup is no longer suitable, I may recommend replacing part of it with a custom internal system.
Do I need to understand the technical side?
No.
I will help map the process, identify the repeated steps and explain what can be automated in straightforward language.
Can you automate reporting workflows?
Yes.
Reporting automation can collect, structure and move information from emails, spreadsheets, systems or other sources into a more consistent reporting process.
What is an AI-assisted process?
An AI-assisted process uses AI to complete a specific task inside a wider business workflow.
This might involve reading information, extracting details, classifying an enquiry, preparing a summary or drafting a response for human review.
How is this different from a chatbot?
A chatbot is one possible way to use AI, but AI-assisted processes are broader.
The AI may work behind the scenes with emails, documents, forms, customer messages or internal records rather than holding a visible conversation.
What can AI-assisted processes help with?
Examples include:
extracting data from documents
summarising emails or conversations
classifying enquiries
preparing customer support responses
qualifying leads
formatting unstructured information
identifying important details
suggesting next actions
supporting internal searches and decisions
Will AI make decisions without human involvement?
That depends on the process and the level of risk.
For important decisions, the AI can prepare or recommend an output while a person reviews and approves it.
Human review should be used where accuracy, judgement or accountability matters.
Is AI suitable for every process?
No.
AI is useful when information needs to be understood, interpreted or transformed.
If the process follows simple and predictable rules, normal workflow automation may be more reliable and cost-effective.
How accurate is AI data extraction?
Accuracy depends on the quality and consistency of the source information.
The process should be tested using realistic examples, and validation or human review can be added where incorrect data would cause a problem.
Can AI work with our existing systems?
Often, yes.
AI can be added between an incoming source and an existing tool.
For example, an email can trigger a workflow, AI can extract the important details, and the result can be added to a spreadsheet, CRM or custom system.
How long does a project take?
It depends on the scope.
A small automation may be completed relatively quickly, while a custom internal system involving several user roles, screens and integrations will require more design, development and testing.
Once I understand the process and requirements, I can provide a clearer estimate.
How much does a project cost?
Pricing depends on what needs to be designed, built and integrated.
A straightforward workflow automation and a full custom internal system are very different projects.
The free audit helps establish the problem and the likely scope before pricing is discussed.
Can you work with businesses outside Tamworth?
Yes.
Evans Digital is based in Tamworth and works with businesses across Birmingham, Staffordshire, the West Midlands and the wider UK.
Projects can also be delivered remotely.
Do you offer ongoing support?
Yes.
Some projects only require a one-off build, while others benefit from ongoing maintenance, monitoring, updates or further development.
The support options will depend on how important the system or workflow is to your business.
Can an existing system be improved rather than rebuilt?
Possibly.
I will review how the current system works, what technology it uses and where the main limitations are.
In some cases, targeted improvements are the best option. In others, replacing the system may be more practical than continuing to work around it.
Still not sure what you need?
That is completely fine.
You do not need to know whether the answer is a better website, an AI agent, or an automation.
Start by sending over your website or process, and I’ll show you what I would improve first.
